SeatMax is a web-based platform that helps event planners coordinate ground transportation for corporate events. The service groups travelers arriving on different flights into optimized shared rides, reducing transport costs and coordination effort. Features include flight tracking, automatic traveler grouping, vehicle assignment, and notifications via SMS, Slack, or email.
SeatMax uses third-party flight data providers to look up flight status, arrival times, terminals, and related information. These providers may include, but are not limited to, AeroDataBox, AviationStack, FlightAware, and other aviation data services. SeatMax may change, add, or remove flight data providers at any time and without prior notice.
Flight data is provided on an “as is” basis. SeatMax does not guarantee the accuracy, completeness, or timeliness of any flight information. Flight schedules, status, terminal assignments, and arrival times are subject to change by airlines and airports at any time. You should always verify critical flight information directly with the airline or airport.
By providing your phone number and accepting a rider invitation, you consent to receive transactional SMS (text messages) from SeatMax related to your event participation. These messages may include:
Message frequency: Message frequency varies based on event activity. You may receive multiple messages on event days (typically 1–10 messages per event day).
Message and data rates may apply. Your mobile carrier’s standard messaging rates apply. SeatMax is not responsible for any charges from your carrier.
Opt-out: You can opt out of SMS notifications at any time by replying STOP to any message from SeatMax. After opting out, you will receive one final confirmation message. You may also update your contact preferences in your account settings.

Supported carriers: SeatMax SMS is supported on all major US and Canadian carriers. Carriers are not liable for delayed or undelivered messages.
By providing your phone number, you confirm that you are the account holder for that number or have authorization from the account holder to receive SMS messages at that number. Your phone number will not be sold, rented, or shared for marketing or promotional purposes.
To use certain features of the service, you must register for an account. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete. You are responsible for safeguarding the password that you use to access the service and for any activities or actions under your account. You agree not to disclose your password to any third party. You must notify us immediately upon becoming aware of any breach of security or unauthorized use of your account.
Certain features of the service require payment. All payments are processed securely through Stripe. By providing a payment method, you authorize SeatMax to charge the applicable fees to your payment method. You are responsible for all charges incurred under your account. SeatMax reserves the right to change its pricing at any time, with notice provided to existing customers before changes take effect.
SeatMax’s fee is triggered when coordination is completed — defined as: (a) Riders confirm landing via SMS, (b) group ride assignments are generated, and (c) a group MMS with ride instructions is sent to the ride group. The fee applies to verified savings from coordinated rides regardless of whether the provided Uber dispatch link is used to request the ride.
When a Rider confirms they have landed (via SMS reply), that confirmation constitutes acknowledgment of participation in a coordinated ride group. This data, combined with the group assignment and MMS dispatch, serves as the basis for calculating verified savings and the associated fee.
The Ride Captain is required to use the provided Uber dispatch link to request the ride for their group. Intentionally circumventing the provided dispatch link after receiving coordinated group assignments does not exempt the organization from applicable fees. SeatMax’s service is the coordination of shared rides — the dispatch link is the designated mechanism for completing that coordination.
Organizations that repeatedly bypass the dispatch link, dispute charges for completed coordination services, or otherwise attempt to use SeatMax’s coordination features while avoiding applicable fees may have their account suspended or terminated at SeatMax’s sole discretion.

The intellectual property in the materials contained in this website are owned by or licensed to SeatMax and are protected by applicable copyright and trademark law. We grant our users permission to download one copy of the materials for personal, non-commercial transitory use.
This constitutes the grant of a license, not a transfer of title. This license shall automatically terminate if you violate any of these restrictions or the Terms of Service, and may be terminated by SeatMax at any time.
