Receipt Reconciliation: Prove Your Savings with Real Numbers

How SeatMax collects Uber/Lyft receipts from Ride Captains via text, parses them with AI, and shows verified savings on your invoice.

What it does

After your event, SeatMax automatically collects Uber/Lyft receipts from your Ride Captains. Each captain gets a text with a unique email address — they just forward their Uber or Lyft receipt email to that address. Our AI reads the receipt, extracts the actual fare, and shows you real savings vs. estimates on your invoice. No manual data entry. No spreadsheets. One forward, done.

Why it matters

Your CFO doesn't want projections. They want proof. SeatMax's standard estimates are intentionally conservative — $24 for UberX, $38 for UberXL. In most major markets, actual ride-hail fares are significantly higher. Receipt reconciliation turns "we think we saved you $X" into "we provably saved you $X — here are the receipts." Organizations typically discover their actual savings are 20–40% more than originally quoted.

How to enable it

Go to your event settings and toggle "Verify ride costs via receipts." For Pro accounts, this adds $1/Rider to your invoice — a small cost that pays for itself many times over when you can show finance verified savings. Enterprise accounts get this included at no extra charge.

Configuring nudge levels

Use the "Receipt follow-up intensity" dropdown (0–5) to control how persistently SeatMax follows up with Ride Captains. The default (level 2) sends two friendly reminders. For large events where every receipt counts, turn it up. For informal events, turn it down or off. Ride Captains are never penalized for not submitting — we just fall back to estimated costs.

What Ride Captains see

After their ride completes, Ride Captains get a friendly text with a unique email address. They find their Uber or Lyft receipt email and forward it to that address — we'll handle the rest. If the email can't be parsed, they get a helpful message and can try again. No one gets locked out or penalized for a mistake.

The report

Your invoice shows estimated vs. actual cost per ride group, with a receipt status indicator (Verified, Estimated, or Missing). A summary section shows total verified savings across all groups.
