The last-minute change problem

Between booking and boarding, 15-20% of travelers change their flights. Earlier connections. Upgraded routes. Weather reroutes. Personal schedule changes.

With manual coordination, every change means the Planner has to update the spreadsheet, re-sort groups, and re-notify affected travelers. Multiply by 100 travelers and you've got a full-time job for the week before the event.

Rider self-service via web portal

Every Rider has access to a personal portal via their magic link. From there, they can update their own flight details at any time.

The flight update form validates against real airline data — it's practically impossible to enter an invalid flight number. When a Rider updates their flight, SeatMax:

1. Verifies the new flight exists and pulls arrival data 2. Updates the traveler's record 3. Re-runs the grouping algorithm 4. Updates all affected vehicle assignments 5. Notifies the Planner of the change

The Rider sees their updated assignment immediately. Other affected Riders are notified if their group changed.

Flight changes via SMS

For Riders who don't want to open a browser, SeatMax supports flight changes via text message.

Riders text CHANGE to the SeatMax number and follow a guided flow:

1. Pick direction (incoming or outgoing) 2. Pick date 3. Pick airport 4. Search for the new flight (type airline + number, get real results) 5. Confirm

The entire flow happens via SMS — no app, no login. The traveler's record updates and groups restructure automatically.

Pre-flight ride checks

SeatMax can automatically ping travelers before their flight to confirm they're still coming. The pre-check system sends escalating reminders:

  • 24 hours before departure: "Still on track for your ride?"
  • 12 hours before (if no response)
  • Down to 2 hours before (final check)

If a Rider responds that they no longer need a ride, they're removed from grouping and groups restructure. This prevents empty seats and no-shows on event day.
