How We Charge: Worked Examples for Every Kind of Event

See exactly how the SeatMax fee is worked out for one-way and round-trip events, small and large, branded or not, and how to check your bill.

The rule

Every event has up to two legs: arrivals (airport to venue) and return rides (venue to airport).

1. Savings for a leg = what solo UberX rides would have cost, minus what the shared rides cost. 2. Your fee for that leg = your rate times its savings. The rate depends on event size: 25% for events up to 50 Riders, 22% for 51–150, and 20% for 151+.

That's all. No minimum fee. A leg that saves nothing costs nothing, so if we don't save you money, you don't pay. Events with 10 or fewer Riders are free.

Find the example below that looks most like your event to estimate your fee, or to check a bill.

Example 1: small one-way event (arrivals only)

12 Riders fly in for a workshop and make their own way home.

  • Arrivals saved $480. 25% of that is $120.

Total fee: $120. Your Riders saved $480 together, so you keep $360.

Example 2: typical round trip

30 Riders, with arrivals on day 1 and return rides on day 3.

  • Arrivals saved $900. 25% of that is $225.
  • Return rides saved $700. 25% of that is $175.

Total fee: $400. Your Riders saved $1,600 together, so you keep $1,200.

Example 3: very small savings

11 Riders mostly on different flights, so only a couple of rides could be shared. There is no minimum, so a small saving means a small fee.

  • Arrivals saved $120. 25% of that is $30.

Total fee: $30. Your Riders saved $120 together, so you keep $90.

Example 4: return rides saved nothing

Arrivals grouped well, but everyone left at different times, so no return rides could be shared.

  • Arrivals saved $600. 25% of that is $150.
  • Return rides saved nothing, so they cost nothing.

Total fee: $150. Your Riders saved $600 together, so you keep $450.

Example 5: departures-only event

Riders were already in town; SeatMax only coordinates the trip back to the airport.

  • Departures saved $500. 25% of that is $125.

Total fee: $125. Your Riders saved $500 together, so you keep $375.

Example 6: large event (51 to 150 Riders)

80 Riders, round trip.

  • Arrivals saved $3,000. 22% of that is $660.
  • Return rides saved $2,500. 22% of that is $550.

Total fee: $1,210. Your Riders saved $5,500 together, so you keep $4,290.

Example 7: Enterprise event (151+ Riders)

200 Riders, round trip. Enterprise pricing applies automatically.

  • Arrivals saved $6,000. 20% of that is $1,200.
  • Return rides saved $5,000. 20% of that is $1,000.

Total fee: $2,200. Your Riders saved $11,000 together, so you keep $8,800.

Example 8: a branded (white-label) event

Branding adds 2 percentage points to the rate below Enterprise size, and is free at Enterprise size. The same 30-Rider round trip as Example 2, branded:

  • Arrivals saved $900. 27% of that is $243.
  • Return rides saved $700. 27% of that is $189.

Total fee: $432. Your Riders saved $1,600 together, so you keep $1,168.

Example 9: arrivals spread over two days

A leg can span several days. Each day is billed as it is finalized, at the event's rate on that day's share of the savings.

If arrivals saved $600 on Monday and $200 on Tuesday at 25%, Monday's charge is $150 and Tuesday's is $50: the same $200 as pricing the whole leg at once.

A charge under 50 cents is waived, because a card can't be charged that little.

Checking your bill

Open the invoice for the leg you are checking ("View Invoice" on the event page). Then:

1. Find Your savings. 2. Multiply by the rate shown next to the fee.

That is your fee. For a multi-day leg, each day's charge is that day's share, as in Example 9.

If you re-approved savings after some days were already billed, those days keep the amount they were charged; only the remaining days are re-worked.

Why the fee can differ from an early estimate: the fee is worked out from the savings you approve. Delays, cancellations and regrouping before you approve change the savings, and the fee follows them.
